From Self-Serve to Fully Managed: Auxilius Support, Explained

Auxilius isn't one-size-fits-all when it comes to support. Working with our customers day to day, I've watched teams choose different service levels for different reasons: one wants full control, another wants more ongoing guidance and support during their close. There's no wrong answer, and teams often move between tiers as their needs change.



Auxilius provides three different support models:

  1. Self-Serve — Your team runs every part of the workflow directly using our automated tools, with guidance available from our experts.
  2. Standard Support — In addition to all self-service tools, our team is available to assist with remapping and QA on your most complex data inputs.  
  3. Managed Services — Our team takes on additional work beyond the standard option, from outsourced close management to advising on governance and process.

Regardless of the tier you choose, a dedicated implementation lead configures the platform and sets up your integrations before you go live. Once live, a dedicated technical accounting lead is available to provide ongoing guidance for as long as you're a customer.

Here's what each service option looks like in practice.

Self-Serve

Self-Serve is for teams who want to run the full workflow themselves, end to end, using Auxilius's automation.

These customers upload their own vendor estimates and change orders using our automated mapping tools, confirm invoices and trial data synced automatically from your ERP and EDC each period, and manage the monthly close using the in-app close checklist.

How this looks:

  • Uploading vendor estimates and change orders via auto-load: the mapping engine recognizes matching descriptions even when wording isn't identical, and remembers previous mappings so each round gets faster
  • Closing the month with the guided in-app checklist: a structured, repeatable process with preparer and reviewer roles
  • Industry expertise available if needed: our experts can advise on methodology and best practices, but nothing requires it

Among our 120+ customers, this is the tier teams choose when they want full control over timing and execution during the close window.

Standard Support

Standard Support is for teams that are looking to own their close process, but would like a little extra support with their most complex workflows.

When a particularly complicated change order comes in, these customers can just upload it to the platform where our team confirms the mapping, and incorporates it into your budget, with QA on the numbers before it posts. Same for CRO vendor estimates and other data inputs.

How this looks:

  • Same access to all self-service functionality and resources
  • Ability to use the Auxilius team for remapping of certain data inputs like vendor estimates, change orders, and protocol amendments
  • Ongoing QA on all data before it posts to the budget

Managed Services

Managed Services is for teams that are looking to tap into our team’s expertise above and beyond our standard option. Services range from outsourcing their clinical accounting, to organizing deep dives into governance and processes, to having an Auxilius member as an extension of their team.

Example services:

  • Governance and process audits (SOP review, forecast methodology, auditor support)
  • Additional ongoing training for new team members
  • Fully-outsourced clinical accounting, including month end clinical close management (journal entry prep)
