Frequently Asked Questions
At its core, Auxilius replaces the manual close workbook with a purpose-built clinical trial subledger. It builds your budget from CRO budget grids, site contracts, and change orders, estimates actuals each period using your ERP and EDC data, and automates invoice netting, change order processing, and expense source comparison. A structured close checklist with preparer and reviewer workflows keeps your close process consistent and controlled.
There are three ways that data gets into the Auxilius system efficiently and effectively: (1) Data integrations, (2) Fully-automated file transfers with auto-mapping, and (3) Direct file uploads with built-in QA/QC with an Auxilius business analyst per Auxilius SOC1 controls. These data integration and ingestion capabilities eliminate the need for manual entry and QA that’s typically associated with manual cost tracking.
Auxilius doesn't replace your ERP. Instead, it works alongside it as a subledger for your clinical trial spend. ERPs are great for corporate-level spend but were never designed for the nuance, complexity, and detail of clinical trial finance. Auxilius replaces the manual processes and complicated Excel models that are often built and maintained alongside an ERPs to mode clinical spend, integrating with all major ERPs to pull in invoices for accrual calculations and producing pre-configured CSV files to post journal entries.
No. Auxilius can support whatever accounting methodology you and your auditor are comfortable with for each expense category. Auxilius also surfaces multiple expense sources side by side (vendor estimate, internal forecast, evidence-based estimate) so your team can compare and exercise judgment when you’re booking expenses.
While organizations can use a variety of methods to estimate investigator costs, a majority of Auxilius clients us an evidence-based estimate from Auxilius Investigator Intelligence; Auxilius Investigator Intelligence takes contracted costs (CTAs), protocols, and trial activity data (EDC) data to develop an independent estimate of a trial’s investigator costs. This evidence-based estimate can then be used to determine accrual and prepaid positions for investigator costs.
Auditors love it! Auxilius was purpose-built with auditability in mind and with direct auditor input from day one. All Big Four firms are represented across our customer base, which includes 404A and 404B filers. Increased traceability, built-in controls, and auto-generated audit-ready documentation all support cleaner, more straightforward audits. SOC 1 and SOC 2 Type 2 reports are also available off the shelf.
Yes! Many of our clients also manage their CMC budgets in Auxilius.
