Frequently Asked Questions
Auxilius replaces the manual processes associated with close with connected data, automated workflows, and audit-ready insights, so your team spends its time exercising judgment, not prepping the numbers. It builds and maintains your clinical trial budget and calculates LTD expenses using your CRO budget grids, site Clinical Trial Agreements (CTAs), clinical trial activity data, and other inputs. The system also takes in invoices from your Enterprise Resource Planning (ERP) or Procure-to-Pay (P2P) system to determine your accrual or prepaid position. An integrated close workflow with preparer and reviewer roles keeps the process repeatable and controlled, and at the end, you export pre-configured journal entries directly into your general ledger.
Yes. Every aspect of managing close, forecasting, and everything in between is possible via our automated self-service tools. In fact, many of our 120+ customers choose this route for the control it gives them over timing and execution of time-sensitive activities during the accounting close window.
Auxilius doesn't replace your ERP. Instead, it works alongside it as a subledger for your clinical trial spend. ERPs are great for corporate-level spend but were never designed for the nuance, complexity, and detail of clinical trial finance. Auxilius replaces the manual processes and complicated Excel models that are often maintained alongside an ERP to manage clinical budgets, integrating invoices and Purchase Orders (POs) directly from your ERP and exporting pre-configured journal entries back into it.
There are three ways that data gets into the Auxilius system efficiently and effectively:
1. Direct integrations with source systems for real-time data flow,
2. Automated file transfers, auto-mapped to your study structure, and
3. Direct template uploads with in-system validators.
If you opt into the Auxilius service model where accounting and clinical analysts support template preparation and upload, rest assured the data ingestion and QAQC is covered under Auxilius SOC 1 controls. Regardless of how the data enters the Auxilius system, it's mapped and structured against our proprietary clinical finance ontology, eliminating the manual entry, formatting, and QA that clinical cost tracking typically requires.
No. Auxilius can exactly emulate your current expense calculation for each expense category. If you are comfortable with the vendor confirmation file you’re getting from your CRO, Auxilius auto-ingests the CRO file and enables you to set the vendor confirm as the default expense source; your Journal Entry will be prepared accordingly. The Auxilius platform is designed to give you additional information so you can take that CRO reported estimate in context. Auxilius surfaces multiple expense sources side by side (vendor estimate, internal forecast, Electronic Data Capture (EDC)-based investigator grants estimate) so your team can compare and exercise judgment when you’re booking expenses.
While organizations use a variety of methods to estimate life-to-date investigator costs, including using vendor estimates, a majority of Auxilius clients rely on their own trial data and contracted costs via Auxilius Investigator Spend Intelligence. It takes contracted costs via Clinical Trial Agreements (CTAs), protocols, and trial activity data via your Electronic Data Capture (EDC) system to build an independent estimate of a trial's investigator costs, which is a key input to determining your accrued or repaid position.
Auxilius was purpose-built with auditability in mind and with direct auditor input from day one. All Big Four firms are represented across our customer base, which includes 404A and 404B filers. Full traceability, built-in controls, and auto-generated audit-ready documentation all support cleaner, more straightforward audits. SOC 1 and SOC 2 Type 2 reports are also available off the shelf.
Yes. Many Auxilius customers also manage their CMC budgets in Auxilius alongside their clinical trial spend.
